
Our client, a Medical Affairs department at an integrated pharma company, was in the midst of an IT system transition. Future looked bright with all the promised capabilities that the new, to-be-deployed enterprise knowledge management platform would deliver. It would take between 6 and 18 months, however. In the mean time, some existing systems were being taken offline and a temporary solution had to be found for a clinical research "expertise dashboard" where one would search for and identify clinics and health care providers (doctors) that were available for new clinical research projects.

Saber Informatics worked with our Client's internal IT team as well as a designated internal Medical Affairs contact. We interviewed the business and determined that a content management system would meet the requirements. The pharma company employs medical science liaisons who manage research collaborations with health care providers. Both specialize in certain disease areas and the liaisons also get geographical areas assigned to them. The expertise dashboard has to be a reliable source of current information about the doctors' contact details, specialization, and any ongoing collaborations with the company.
A secure web portal for the clinical research expertise dashboard.
We designed and implemented a secure, in-house web portal for the expertise dashboard. Medical science liaisons and their disease area managers edit and view information about all the doctors and clinics available and already engaged in collaborative clinical research with the company. Access is limited to approved users only. User-based and role-based authorization policies for content view and edit were implemented. The portal contains configurable dashboard views by disease specialization, expertise tier, and geographical area. A change control process with strict logging and revisioning was implemented, requiring digital signoff by area managers on any pending information updates. Automated alerts are sent to relevant liaisons when their assigned doctors' addresses are edited.
